What is a healthcare lockbox?
A lockbox is a bank service that receives a provider's mailed payments, deposits the checks and scans the EOBs and correspondence, so paper payments arrive as images and data files.

| Item | Payer or sender | Amount | Images |
|---|---|---|---|
| Check 88213 | Example Auto Insurance | $640.00 | Check, EOB (2 pages) |
| Check 4471 | Patient, Jordan Sample | $75.00 | Check, statement stub |
| Correspondence | Example Health Plan | Records request letter (3 pages) | |
| Deposit | $715.00 |
- The records request has a deadline. If it sits with the checks, it's easy to miss.
Paper still arrives: checks from smaller payers, auto and workers’ compensation carriers, patients paying statements, and letters of every kind. With a lockbox, all of it goes to a post office box the bank manages. The bank deposits the checks the same day and sends images and a data file.
What it solves, and what it doesn’t
A lockbox gets money into the bank faster and keeps checks out of the office. It doesn’t post anything. Someone still has to read each EOB, post it, match patient payments to accounts, and catch the payer letters, such as denials, records requests and overpayment demands, mixed in with the payments.
